Privacy Policy
Version 1.1. Effective October 13, 2026.
1. Who we are
Segments is a business name of HollTech LLC, a Kansas limited liability company. This policy covers segmentsmarketing.com, the Storefront Report, walkthrough bookings, and the emails we send. Questions: help@segmentsmarketing.com.
2. Who the site is for
The site is for businesses in the United States. It is operated from, and information is processed in, the United States. It is not intended for people in the European Economic Area, the United Kingdom or Switzerland. It is not directed to children under 13, and we do not knowingly collect their information.
3. Information you give us
- When you book a walkthrough: your name, work email, store name, store website, and number of locations.
- When you run a Storefront Report: the store website you enter and the locations you confirm.
- When you ask us to email a report: the email address you enter.
- Anything you send us by email.
4. Information collected automatically
- Your IP address, used for rate limits, security and bot detection. We store rate-limit records in hashed form.
- Browser and device details, pages viewed, and the page that referred you.
- Cookies and similar technology from Google Analytics and Cloudflare Turnstile, described below. We do not use advertising cookies or pixels.
5. Information about businesses in reports
Reports contain information about businesses from public and licensed sources: business names and locations, Google ratings and review counts, map and shopping search results, website speed, and AI-generated answers that name businesses. Reports do not include review text or reviewer names. A report can be run on any store, including one the visitor does not own. Reports are automated snapshots and may contain errors. If a business name is also a person's name, we treat it as personal information and will remove it on request.
6. How we use information
- To build, show and deliver reports.
- To schedule and hold walkthroughs and send confirmations.
- To answer questions.
- To prevent abuse and enforce rate limits.
- To measure and improve the site.
- To send information about Segments services to people who booked a walkthrough or asked for a report by email. Every marketing email has an unsubscribe link.
- To comply with the law.
We keep an internal record of each report run: the store, the score, and whether a copy was requested by email.
7. Google Maps and Google speed data
The Storefront Report uses Google Maps Platform (Places API) to find the Google Business Profile listings for the website you enter. Google's handling of data is described in the Google Privacy Policy at https://policies.google.com/privacy. From that lookup we store only a Google place identifier for each listing. The ratings, review counts and categories shown in a report come from our search data providers' records of public Google Maps results. The website address you enter is also sent to Google PageSpeed Insights and the Chrome UX Report to measure load speed.
8. AI and search data providers
To build a report we send search-style questions containing a business name and city to OpenAI, Anthropic and Perplexity, and we send business names, search phrases and locations to DataForSEO and SerpApi. We send location coordinates to the US Census Bureau geocoder. We do not send your name, email or other contact details to any of them. The AI providers' API terms state that they do not use API content to train their models by default. They may keep request data for a limited period to monitor for abuse.
9. Analytics
We use Google Analytics 4 to understand how the site is used. It uses cookies and identifiers to collect usage data. See "How Google uses information from sites or apps that use our services" at https://www.google.com/policies/privacy/partners/. Advertising features and Google Signals are turned off. We keep analytics data for 14 months. We do not send Google names, email addresses or form content. You can opt out with Google's browser add-on at https://tools.google.com/dlpage/gaoptout or through your browser's cookie settings.
10. Bot protection
We use Cloudflare Turnstile to tell people from bots. Turnstile processes signals such as IP address, TLS fingerprint and browser user agent. Its use is subject to the Cloudflare Turnstile Privacy Addendum at https://www.cloudflare.com/turnstile-privacy-policy/ and the Cloudflare Privacy Policy.
11. Walkthrough bookings
When you book, your name, email address and the details you provide are saved as an event on our Google Workspace calendar, and Google sends you a calendar invitation with a Google Meet link. We use this information only to schedule and hold the meeting and to follow up. We do not access your Google account or your calendar. We do not record or transcribe calls without asking you first. We do not send marketing text messages.
12. Who we share information with
We do not sell personal information. We do not share it for advertising. We share it only with service providers that help us run the site:
- Hosting and storage: Netlify
- Analytics, calendar, video meetings, email, maps and site-speed data: Google
- Security: Cloudflare
- Email delivery: Postmark (ActiveCampaign)
- Search data: DataForSEO and SerpApi
- AI models: OpenAI, Anthropic and Perplexity
- Location lookup: US Census Bureau
- Payments and billing for paid services: Stripe, Inc., which processes bank account (ACH) and card details on its own pages. Segments never receives full card or bank numbers.
We may also disclose information when the law requires it, to protect our rights or others' safety, or as part of a sale or reorganization of the business.
13. Tracking across sites, Do Not Track and Global Privacy Control
Google (through Google Analytics) and Cloudflare (through Turnstile) receive information when you use this site. We do not allow advertising networks to collect information here. When your browser sends a Global Privacy Control or Do Not Track signal, we do not load Google Analytics.
14. Report links
A report is reachable by anyone who has its link. There is no login. Do not share the link if you do not want others to see the report. Report pages are not indexed by search engines.
15. How long we keep information
- Reports and stored AI answers: 90 days, then deleted. For Google AI Mode we store only whether a business was named or cited, not the answer text.
- Rate-limit records: 30 days.
- Analytics data: 14 months.
- Booking and contact records: while we are in contact with you and for 24 months after our last contact.
- Unsubscribe requests: kept so we can keep honoring them.
16. Your choices
- To see, correct or delete the information we hold about you, email help@segmentsmarketing.com. We respond within 30 days.
- To stop marketing emails, use the unsubscribe link in any email or email us.
- If you own a business named in a report, you can ask us to correct or remove the report.
- Nevada residents: we do not sell covered information. Requests can be sent to the same address.
17. Security
We use reasonable safeguards, including encryption in transit and limited access. No system is perfectly secure, and we cannot guarantee security.
18. State privacy laws
Because of our size and because we serve businesses, HollTech LLC is not currently subject to the California Consumer Privacy Act or the other state comprehensive privacy laws. We still do not sell or share personal information, and we honor the requests described in section 16.
19. Changes
We will post updates on this page with a new date and version number. If a change is material, we will flag it on the site or by email.
